Privacy Policy

This Privacy Policy describes how AeonTMS LLC ("Aeon TMS," "we," "us") collects, uses, and shares information through the Aeon TMS web platform, the Aeon TMS mobile application, and www.aeontms.com (together, the "Service").

Aeon TMS is provided to trucking companies ("Customers") and used by their authorized dispatchers, recruiters, safety staff, and drivers ("Users"). Accounts are provisioned by a Customer's administrator — there is no public self-signup.

1. Information we collect

Account information. Name, work email, phone number, and role for Users of the platform.

Driver and candidate information. Name, contact details, CDL and license information, employment and driving history, and documents submitted during recruiting and onboarding. Sensitive identifiers such as Social Security numbers are encrypted at rest.

Background screening information. Motor Vehicle Records (MVR) and FMCSA Pre-Employment Screening Program (PSP) records are obtained through authorized third-party screening providers, pursuant to a separate disclosure and authorization signed by the driver or candidate, as required by the Fair Credit Reporting Act (FCRA) and similar state laws.

Calls and text messages. Voice calls placed or received through the Service are delivered through our telephony provider, Telnyx, and may be recorded and transcribed for quality, training, and recordkeeping purposes. Where required by law, an automated announcement discloses that a call is being recorded before recording begins. SMS conversations are logged to the relevant driver or candidate record; recipients may opt out of automated texts at any time by replying STOP. See Section 4 below for more on Telnyx.

Payroll and banking information. Where a Customer enables direct deposit, drivers may connect a bank account for payroll purposes through Plaid, which shares routing number, account number, account type, account holder name, and institution name with us. We do not receive transaction history, balances, or investment data. See Section 5 below for more on Plaid.

Location and vehicle data. With a Customer's configuration, the Service may receive GPS location, hours-of-service (HOS), and ELD data from connected telematics hardware and navigation integrations, along with vehicle maintenance and inspection records, used to support dispatch, routing, maintenance scheduling, and regulatory compliance.

Usage data. Standard web server logs (IP address, browser type, pages visited) for www.aeontms.com. As of the date above, this site does not use third-party advertising trackers or Google Fonts — it doesn't load any third-party analytics scripts.

2. How we use information

We use the information described above to:

  • Operate dispatch, recruiting, safety/compliance, maintenance, and communications features of the Service;
  • Verify driver qualifications and support DOT/FMCSA regulatory recordkeeping;
  • Process driver payroll direct deposit, where a Customer enables it;
  • Provide, secure, and improve the Service, including diagnosing technical issues;
  • Communicate with Users and Customers about the Service; and
  • Comply with legal obligations and enforce our agreements.

We do not use banking data obtained through Plaid for any purpose other than payroll disbursement, and we do not use personal information for advertising or marketing profiling, or sell it to third parties.

3. How we share information

We do not sell personal information. We share information only:

  • With the Customer that provisioned a User's or driver's account, as part of operating that Customer's fleet;
  • With service providers who process data on our behalf (e.g., cloud hosting, Telnyx for telephony/SMS delivery and call recording, Plaid for bank account verification, background screening providers, and AI-assisted transcription and summarization), under contractual confidentiality obligations;
  • When required to comply with law, regulation, legal process, or a governmental request; and
  • In connection with a merger, acquisition, or sale of assets, with notice as required by law.

4. Telnyx (calls and text messages)

Aeon TMS uses Telnyx to place and receive calls and text messages within the Service. When you use the Service's calling or messaging features:

  • Calls may be recorded, and an automated announcement discloses recording before it begins, where required by law;
  • Recorded calls may be transcribed using AI-assisted transcription for quality, training, and recordkeeping;
  • SMS messages are delivered and received through Telnyx's messaging infrastructure and logged to the relevant driver or candidate record; and
  • You may opt out of automated text messages at any time by replying STOP.

Telnyx's handling of call and message data in the course of providing this infrastructure is governed by Telnyx's Privacy Policy.

5. Plaid (payroll bank verification)

Where a Customer enables direct deposit, Aeon TMS uses Plaid Technologies, Inc. to let drivers securely connect a bank account for payroll purposes. When you connect your bank account through Plaid:

  • You authenticate directly with your bank through Plaid's interface — your bank login credentials are never seen or stored by Aeon TMS;
  • Plaid transmits your verified routing number, account number, account type, account holder name, and institution name to us over an encrypted connection, solely to process payroll direct deposit; and
  • Plaid acts as a data processor on our behalf, subject to its own security and privacy standards.

Plaid's collection and use of your information is governed by Plaid's Privacy Policy, which we encourage you to review. By connecting a bank account through Plaid Link, you also agree to Plaid's terms. Drivers who prefer not to use Plaid may be able to enroll manually — contact your Customer administrator.

6. Aeon Recruiter Tools (browser extension)

We publish Aeon Recruiter Tools, a private browser extension distributed only to authorized recruiting and safety staff of a Customer. It is not offered to drivers or to the general public.

When a recruiter uses the extension, it reads a driver's application data from the Customer's own applicant tracking system — for example Tenstreet — and writes it into that same Customer's Aeon TMS account. The data involved is the driver's application itself: name, contact details, mailing address, date of birth, Social Security number, employment and driving history, previous-employer contact information, signed consents, and related documents such as MVR, medical certificate, CDL copy, and pre-employment screening reports.

  • It runs only in the recruiter's own browser, using the sessions that recruiter is already signed in to — it never stores or transmits anyone's login credentials;
  • It moves data only between the two Customer-owned systems described above. It sends nothing to us beyond what the Aeon TMS service already receives, and nothing to any other third party;
  • It stores no data on the recruiter's device and performs no tracking, advertising, or analytics; and
  • Every transfer is initiated deliberately by a recruiter, who reviews what was found and confirms it before anything is written.

Data brought across by the extension is then handled exactly as described elsewhere in this policy, including the retention and security terms below. The Customer's own agreement with its applicant tracking provider governs that provider's handling of the same information.

7. Data retention

We retain information for as long as needed to provide the Service and to meet legal, regulatory, and recordkeeping requirements applicable to motor carriers (which in some cases require multi-year retention of driver qualification, safety, and payroll records), after which it is deleted or de-identified.

8. Your choices and rights

  • Reply STOP to any automated text message to opt out of future texts.
  • Contact us at our support page to request access to, correction of, or deletion of your information, subject to our legal recordkeeping obligations.
  • Depending on where you live, applicable law may give you additional rights over your personal information; contact us and we'll respond consistent with that law.
  • For rights related to data processed by Telnyx or Plaid specifically, you may also contact those providers directly using the links in Sections 4 and 5 above.

9. Security

We use technical and organizational measures designed to protect information against unauthorized access, including encryption of sensitive identifiers and access controls scoped by role. No system is completely secure, and we cannot guarantee absolute security.

10. Children's privacy

The Service is intended for business use by adults and is not directed to children. We do not knowingly collect personal information from anyone under 18.

11. Changes to this policy

We may update this policy from time to time. Material changes will be reflected by updating the date at the top of this page.
